As an Office Manager with Gessner Engineering, you will provide essential support to the administrative and engineering teams by: maintaining common workspaces, supporting Staff and Client Experience initiatives, liaising with clients and project teams, and more.
This opportunity is Full-Time - in-office – Monday through Friday 8am to 5pm.
Duties/Responsibilities
Maintain shared workspaces/office
Conduct regular orders/restocks of essential office supplies
Ensure shared workspaces and client areas remain tidy
Set up, restock, and break down shared refreshment stations
Distribute mail to appropriate recipients
Schedule/reserve conference rooms
Label and distribute outgoing mail to the appropriate postal service provider
Update postage machines
Receive clients and visitors
Assist Administrative & Corporate teams (HR, Accounting, IT, Marketing, etc)
Conduct monthly benefits audits
Support HR and compliance initiatives including but not limited to
the annual creation of Gessner Engineering’s Affirmative Action Plan
Coordinating the execution of compliance tasks
Organizing learning events for internal teams around benefits
Coordinate the distribution of the internal monthly publication
Conduct employment verifications
Provide a predictable, passionate, and purposeful Client Experience by Gessner Engineering standards
Monitor and take calls directed to corporate lines
Conduct new client intakes
Collaborate and communicate with internal teams to ensure maintenance of Client Experience standards
Provide administrative support to engineering teams
Perform client/project intake
Dispatch engineering service teams/technicians
Coordinate & collaborate with other engineering administrative support professionals
Help distribute client invoices as needed
Print and bind copies of engineering reports
Research projects for clients
Facilitate the satisfaction of Client inquiries
Qualifications
Education
High School Diploma or equivalent required
Associate or bachelor’s degree in related field preferred
HR, Business Administration, Communications, etc.
Experience
At least 1 year of Office Management and/or Human Resources experience required
Experience in Construction, Engineering, or Architectural field preferred
Customer Service experience preferred
Experience with Microsoft Office Suite
